What does a Xero clean-up involve & why do i need one?

Xero’s built to make running your business easier, taking the busy work off your hands so you can focus on the parts of the job you enjoy.

But that only holds true if what’s happening underneath the surface is sound.

If you log into Xero most days, it’s easy to miss the small issues that can build up behind the scenes, like old transactions that never get reconciled, invoices still marked as unpaid months after the money lands, or reports that don’t quite match how your accounts are structured any more.

None of these are disasters on their own. But as they add up over a year or two, your Xero account might not work as hard for you as it should. You could end up spending more time double-checking your figures than the software was meant to save you, while second-guessing whether what you’re looking at actually reflects your business.

A Xero clean-up can put this right. It’s a proper review of your Xero account, carried out by someone who knows the software inside out and where any little gremlins might be lurking.

This blog looks at what a Xero clean-up involves, the signs you might need one and why it’s worth having a Xero specialist like Progression Accountancy do it for you, rather than trying to untangle years of history on your own.

What is a Xero clean-up?

A Xero clean-up is a structured review of your Xero account, working through everything from your bank rules and reports to your chart of accounts. It looks back at everything that’s built up over months, sometimes years, and clears it out properly, so you’re left with a ‘clean’ Xero account and data you can trust.

A Xero clean-up is more of a health check than a treatment for a specific problem. You might come to us with a single concern, like a balance that looks wrong or a report that doesn’t add up, but the value lies in looking at your whole account, not just the bit that’s bothering you.

At Progression Accountancy, our resident Xero guru, Scott, can run a clean-up of your Xero account in a dedicated session, either online or in person. He’ll sit down with you and work through your live Xero account to show you exactly what he’s fixing and why, as it happens. You can ask questions as you go, so you understand why something was wrong and know how to avoid it happening again. You can also flag anything that’s been bothering you along the way, rather than saving it up for another appointment.

Why might you need a Xero clean-up?

Most Xero accounts get a bit messy over time. That’s not necessarily a sign you’ve done anything wrong. It’s simply what happens when you use the software regularly without reviewing it from time to time. Here are a few signs it might be time for a Xero clean-up:

  • Your bank balance in Xero doesn’t quite match your bank statement, and you’re not sure why.

  • Your Invoices and Bills screens are cluttered with old items you thought you’d sorted months ago.

  • You’ve taken over a Xero account from someone else, or switched bookkeepers, and want reassurance it’s set up properly.

  • Your reports don’t tell you much anymore, or you’ve stopped trusting the numbers on your Xero homepage.

  • Your business is growing, taking on new staff or introducing new systems, and you’re not sure your Xero account has kept pace.

Xero won’t flag any of these things. It will quite happily let any old items sit unresolved indefinitely, which is why so many accounts drift over time without anyone noticing until it stops working as it should. That’s one of the most common reasons business owners get in touch with us, and in many cases, it’s because their account hasn’t had a proper review since it was first set up.

What does a Xero clean-up involve?

Every Xero clean-up looks a little different, because every account’s history is different. Some clients need everything covered below. Others might need only one or two areas looking at.

Here’s what a typical Xero clean-up might involve:

Checking your bank balances

Scott will start with the basics, verifying that your bank balance in Xero matches your bank account. This might look simple enough on the surface, but the gaps are rarely obvious from just looking at the homepage. So, he’ll look underneath the top-level view, checking for any old, unreconciled transactions that have sat quietly in the background, sometimes for years. It’s not unusual to find a handful of transactions from long before the current tax year still waiting to be matched, sometimes duplicated payments and sometimes, items that were never quite reconciled properly in the first place. That’s often where the discrepancies hide and once we’ve found them, it’s usually a quick fix.

Sorting out your invoices and bills

Next, he’ll look at your sales invoices and purchases, especially the older items still showing as awaiting payment. Some may have been paid months ago and just need marking off properly. Others might need writing off, so they stop skewing your figures and cluttering your view. The same applies to old credits and overpayments sitting unused on your account, which can be easy to miss if nobody’s looking for them.

The aim is to make your Invoices and Bills screens easier to read. A quick glance should tell you what you owe and who owes you, without having to dig through months of history to work out what’s real and what’s outdated.

Reviewing your balance sheet and chart of accounts

Scott will also check your balance sheet against your chart of accounts, removing anything obsolete or no longer needed. He’ll make sure every account follows the same naming and coding convention, so everything appears in the right place across your reports, instead of scattered wherever it happened to land when it was first set up.

This matters beyond Xero, too. While we’d never suggest you move accountants to work with us, we believe your systems should sync properly, wherever you get your support from.

A well-maintained chart of accounts ensures that what you see in your Xero account matches what your accountant sees, with no mysterious differences to explain away at year-end. It makes life much easier for everyone involved, including you.

Tidying up the smaller details

Depending on your account, a Xero clean-up might also cover a few other areas, including:

  • Merging any duplicate suppliers or customers, so you’re not looking at different versions of the same business.

  • Removing old bank rules or repeating bills that no longer apply, which otherwise keep coding transactions incorrectly without you noticing.

  • Archiving outdated report templates and replacing them with a suite of new ones that reflect how your business runs today.

  • Reviewing default tax rates on suppliers and account codes, so your future transactions post correctly from the outset and won’t need correcting later.

None of these jobs are complicated, but together they can make a real difference to how usable and accurate your Xero account is, day in, day out. It’s the kind of housekeeping that’s easy to put off because nothing about it feels urgent, right up until the point it does.

Why work with a Xero specialist like Progression?

With enough time and patience, you could work through some of these things yourself. The hard part is knowing where to look, what’s safe to change and what to leave alone, because Xero doesn’t always make its underlying issues obvious, even to someone who knows their way around the basics.

As a Xero Gold Partner with multiple certifications, Scott’s spent over a decade working inside client accounts just like yours. Since 2011, he’s helped hundreds of UK businesses get their Xero back on track, so he knows where the problems tend to hide and how to fix them properly instead of just patching over them for a few months. It’s the sort of experience that comes only from doing this day in, day out, across sectors ranging from hospitality and construction to retail and professional services.

Because Scott works in your live Xero account, you won’t be left with a list of recommendations to work through on your own afterwards. You can watch him fix any issues in real time and come away understanding your account far better than when you started.

That’s important to us. We’re not interested in keeping you dependent on us for every small task in Xero. We’d much rather give you the confidence to manage your day-to-day accounts yourself and be on hand whenever you need support.

The result is a clean Xero account you can trust, accurate balances, reports that mean something and a system that does what it’s supposed to do for your business.

So, if any of this sounds familiar, a Xero clean-up could make a real difference to how you use the system day to day and how much confidence you have in the numbers it shows you.
